Getting started with Lightfield

Welcome to Lightfield, the AI-native CRM that self-assembles and takes action for you.
In just a few minutes, Lightfield connects to your everyday tools, builds your CRM automatically, and starts helping you follow up, analyze, and take next steps, without a single spreadsheet or data-entry session.
This guide will help you:
Create your workspace
Connect your email and calendar
Configure visibility and auto-creation settings

How it works
1. Sign up and create your workspace
Getting started is fully self-serve. The onboarding flow walks you through workspace creation, data connection, and visibility settings step-by-step.
To sign up:
Sign in with your Google Workspace account (Microsoft 365 support will come soon)
Confirm your email via the magic link
Fill out your profile (name, role, company, size)
Name your workspace. Lightfield automatically generates a unique workspace URL
Your workspace is private by default. You control who can join and what they can see.
2. Connect your mail and calendar
Once your workspace is created, you’ll be prompted to connect your mail and calendar.
Lightfield uses these integrations to self-assemble your CRM - turning every email, meeting, and contact into structured records.
During onboarding:
Choose the email address you want to connect
Grant permission so Lightfield can securely sync contacts, emails, and meetings
You can connect more than one email account to Lightfield. To add additional accounts later, go to Settings → Mail and Calendar → Add account. You can find more details in the related article below.

3. Configure visibility and record creation

After connecting, you’ll see controls for how Lightfield syncs and shares information.
Visibility settings - control what teammates can view:
Full access: teammates can see shared meeting summaries, transcripts, and email context
Metadata only: teammates see participants and timestamps but not content
Record creation settings - choose how Lightfield creates records automatically:
Disabled: no records are created automatically
Selective: records are created only from emails you send or receive, and meetings you personally organize or attend
Always: records are created from all emails and meetings connected to your inbox
Do not track - exclude domains or addresses you don’t want synced (e.g., personal emails)
By default, Lightfield only creates records for external business domains so messages from personal addresses (e.g., @gmail.com or @outlook.com) are ignored. If you’d like to track personal email addresses, go to Settings → Mail and Calendar and check “Create contacts from personal email addresses”.

4. Explore your workspace

Once setup completes, Lightfield begins populating your CRM in real time (if record creation is enabled). If you chose to keep record creation disabled, your workspace will still sync your data in the background, but you’ll need to create records manually or turn on auto-creation later.
Use the sidebar to navigate:
Accounts - company-level records built automatically from your communications
Contacts - people synced from connected mail and meetings
Opportunities - pipeline, needs to be created by users
Chat - ask Lightfield things like “What’s the latest with Acme?” or “Draft a follow-up from yesterday’s demo.”
Lightfield performs a 30-day back-sync when you first connect your email and calendar. This means newly created records will include the past 30 days of conversations and meetings. We’re working on expanding this window to provide a deeper historical view of your customer interactions.
5. Invite your teammates
Lightfield works even better when your whole team connects - creating a unified, auto-updating CRM.
To invite teammates:
Go to Settings → Members → Invite via email
Enter their work emails
Assign roles (Admin or Member)
Lightfield currently supports two roles for workspace users: admins and members.
Admins can customize your data model, edit opportunity stages, and invite new members.
Members can view and contribute but can’t change workspace-wide settings.
When teammates join, Lightfield merges shared contacts and accounts automatically, keeping everyone in sync.
6. What happens next

Now that your workspace is live and syncing, here’s how to get the most out of Lightfield.
Personalize your setup
Help Lightfield understand your business so its insights and actions reflect your real context.
You can:
Add company knowledge - describe what you sell, who you serve, and your tone of communication
Customize your data model - add or edit fields that matter to you (e.g., ARR, ICP tier, tech stack)
Customize your opportunity stages - align them with your team’s sales motion
Explore Lightfield in action
Start exploring the core features that make Lightfield self-assembling and proactive.
You can:
Review your first meeting prep and summary - see transcripts, next steps, and suggested updates
Ask Lightfield questions in chat - e.g., “What’s the latest with Lightfield?” or “Draft a follow-up from yesterday’s demo.”
Create tasks and follow-ups directly from meetings or opportunities
Share context with your team to stay aligned and move faster
Personalization strengthens everything Lightfield does , from summaries and follow-ups to deal insights and recommended actions.

How long does setup take?
Usually under 10 minutes. You can explore your workspace while Lightfield syncs your data in the background.
Can Lightfield enrich company info automatically?

Do I need to define my fields first?
No. You can add or edit fields anytime. Lightfield can update your CRM retrospectively based on past emails and meetings.
Can I change visibility or auto-creation later?
Yes. All sync preferences can be updated under Settings → Mail and Calendar.
Can I test Lightfield solo before inviting my team?
Absolutely. You can set up Lightfield individually and invite others later - your data and setup carry over.
My email and calendar show “Disconnected.” What should I do?
This usually happens when not all permissions were granted during setup. Go to Settings → Mail and Calendar, click the three-dot icon next to Disconnected, then select Connect account and make sure you grant all required permissions for mail, calendar, and contacts.
