Merging and de-duplicating records

Duplicate accounts and contacts happen — the same company comes in under two email domains, or a person gets added twice. Lightfield's agent can find those duplicates and merge them for you, with your approval on every merge.

How to merge duplicates

1. Open the chat and ask the agent to find duplicates — for example, "find duplicate accounts" or "find duplicate contacts."

2. The agent surfaces the matches it found and proposes which records to merge.

3. Review each proposed merge. If it looks right, approve it.

4. The agent merges the pair and keeps the linked activity on the surviving record.

Nothing is merged automatically — the agent always waits for your approval before it merges anything.

What happens to the merged record

• The two records become one. The activity tied to the duplicate — notes, tasks, meetings, and emails — stays with the surviving record.

• Linked opportunities are kept and re-pointed to the surviving account rather than lost.

• If a step needs you to confirm a detail, the agent asks in the chat — keep replying and it will continue the merge.

Preventing duplicates in the first place

When new records come in from email and calendar sync, Lightfield checks for an existing match and skips creating an obvious duplicate. Merging is for the duplicates that slip through or that pre-date your cleanup.

Will I lose anything when I merge? No. You review and approve each merge, and the linked activity moves to the surviving record.

Can I merge contacts as well as accounts? Yes — ask the agent to find duplicate contacts the same way you would for accounts.

Does the agent merge everything at once without asking? No. It proposes the merges and waits for your approval on each one.
