How Lightfield Meeting Recording Works

Lightfield automatically records your meetings by joining as a participant and generating transcripts for later review.

How Recording Works

Lightfield joins external meetings automatically as a call participant at the scheduled meeting time. You can add or remove the recording bot from the meetings pane in your Lightfield dashboard. The bot will appear as a participant in your meeting, and recordings are processed within several minutes after the meeting ends.

For ongoing meetings, you can manually start recording by opening the meeting page in Lightfield and clicking "start recording" to dispatch the bot.


Common Questions

Why don't I see my recording or transcript immediately?

Recordings can take several minutes to process after your meeting ends. The transcript will appear in your meeting page once processing is complete.

How do I stop the recording bot from joining my meetings?

You can remove the recording bot from individual meetings in the meetings pane, or disconnect your calendar integration entirely. If you're still seeing the bot after disconnecting, check if other team members have recording enabled for shared meetings.

Can I record in-person meetings?

Currently, Lightfield focuses on virtual meeting recording. However, you can upload transcripts from external recording services to your meetings in Lightfield for centralized storage and analysis.

Important: You cannot create meetings directly through the UI to upload transcripts. The meeting must first exist in Lightfield (synced from your calendar) before you can attach a transcript to it.

Alternative options for importing transcripts:

  • Manually create notes and copy transcript content into them

  • If meetings already exist in your CRM, provide the Lightfield agent with a URL to the transcript file (e.g., a Dropbox link) and it will attach them to the meeting

  • If your transcript tool supports webhooks, you can push transcripts into Lightfield automatically

Transcripts added via URL will be included in the agent's context when generating meeting summaries.
