How to add external meeting notes and transcripts to opportunities

If you have meeting notes or transcripts from external tools (like Fathom, Granola, or other note-taking apps) that weren't automatically captured by Lightfield, you can manually add them to keep your opportunity summaries up to date.

Adding notes to opportunities

The best way to add external meeting notes or transcripts is to upload them as a note associated with the opportunity or account. Here's how:

  1. Navigate to the opportunity or account page where you want to add the notes

  2. Create a new note and paste your transcript or meeting notes content

  3. Assign the note to the specific opportunity

The AI agent will have access to all associated notes similar to how it accesses transcripts and emails, ensuring your opportunity summaries stay current and comprehensive.

Alternative method: Upload as meeting transcript

You can also upload your notes as the transcript associated with the meeting in Lightfield. This method works well for maintaining the connection between specific meetings and their notes.

Troubleshooting note visibility

If you've added a note but don't see it appearing on the opportunity page:

  • Check that the note was properly assigned to the opportunity (not just the account)

  • Refresh the page, as there may be a brief delay in updates

  • Verify you're viewing the correct opportunity, especially if the company has multiple names or opportunities

Once properly added, these notes will be included in AI-generated opportunity summaries and will be accessible when querying the AI agent about the account or opportunity.
