Managing multiple recorders and transcripts (Gong & Granola)

Lightfield can now bring in recordings and transcripts from Gong and Granola alongside its own recorder. This means a single meeting can have more than one recorder in the call, and more than one transcript attached to it afterward.

This guide will help you:

  • Understand what happens when you connect Gong or Granola

  • Decide whether to keep the Lightfield recorder on

  • Understand which transcript Lightfield uses by default, and how to change it


Key concepts

  • Recorder: a tool that captures the meeting, such as the Lightfield recorder, Gong, or Granola.

  • Transcript source: a transcript (and recording, when available) attached to a Lightfield meeting. A meeting can have several.

  • Primary transcript: the one source Lightfield uses for the meeting. It is shown on the meeting page, used to generate the meeting summary and suggested actions, and used by the agent. Everyone in your workspace sees the same primary transcript.

Gong and Granola transcripts are only attached to meetings that already exist in Lightfield (synced from your calendar). Connecting them doesn't create new meetings, contacts, or other records. Transcripts inherit the visibility of the Lightfield meeting they're attached to.


Connecting Gong: multiple recorders in a meeting

A workspace admin connects Gong in Settings → Workspace → Integrations. During setup, you choose which Gong workspace to sync and how far back to sync past calls (1 month by default).

Once connected, Lightfield matches Gong calls to existing Lightfield meetings and pulls in the Gong recording and transcript. Calls marked private in Gong are skipped.

What changes in your meetings: connecting Gong doesn't turn off the Lightfield recorder. If both are set to join a meeting, you'll see two recorders in the call: the Lightfield recorder and the Gong recorder. Both transcripts are saved to the Lightfield meeting.

If you'd rather have only one recorder in your calls, you can turn off the Lightfield recorder:

  • For the whole workspace (admins): Settings → Workspace → Recording

  • For just yourself: Settings → Account → Recording

With the Lightfield recorder off, Gong becomes the transcript source for those meetings. You'll still get meeting summaries, suggested actions, and agent context based on the Gong transcript.


Connecting Granola: multiple transcripts for a meeting

Granola doesn't join the call as a bot. It captures notes and transcripts on each person's device, so there's no extra participant in your meeting. Granola can be connected in two ways:

  • Workspace connection (admins): In Settings → Workspace → Integrations, paste a Granola workspace API key. This syncs notes that are filed in shared Granola spaces. Private notes that haven't been shared to a space won't sync.

  • Individual connection: In Settings → Account → External apps, paste your personal Granola API key. This syncs your own notes, including private ones. By connecting, you acknowledge that synced transcripts take on the visibility of the matching Lightfield meeting.

Because several people can take Granola notes in the same meeting, and both workspace and individual connections can be active, a single meeting may end up with several Granola transcripts from different people, plus transcripts from Lightfield or Gong.


Which transcript is primary by default

When a meeting has more than one transcript and nobody has picked one, Lightfield picks the primary transcript in this order:

  1. Lightfield

  2. Gong

  3. Granola

  4. Uploaded transcript

If a meeting has several transcripts from the same source (for example, more than one Granola transcript), the most recently updated one is primary.

To use a different transcript, choose it on the meeting. Your choice overrides this order.


Viewing and changing the primary transcript

Every transcript for a meeting is listed in the Transcripts section of the details panel on the right side of the meeting page. The primary transcript is marked, and its recording and transcript appear on the main meeting page.

To preview another transcript: click it in the Transcripts section. It opens in a side sheet with its transcript and recording (when the source has one).

To make a different transcript primary:

  1. Hover over the transcript in the Transcripts section and open the ··· menu.

  2. Select Use as primary.

Switching the primary regenerates the meeting summary and suggested actions from the new transcript. It also changes the primary transcript for everyone in your workspace, and it's what the agent uses for this meeting from now on.

To add your own transcript: click + in the Transcripts section header to upload a transcript file. An uploaded transcript is added to the list but doesn't become primary automatically. Use Use as primary if you want to switch to it.


Common Questions

Why do I see two recorders in my meeting?

Your workspace has both the Lightfield recorder and Gong active. To keep only Gong, turn off the Lightfield recorder in Settings → Workspace → Recording (admins, for everyone) or Settings → Account → Recording (for just you).

Why doesn't my Gong or Granola transcript show up on a meeting?

Check that:

  • The meeting exists in Lightfield. Transcripts are only attached to meetings synced from your calendar.

  • For Gong, the call isn't marked private in Gong.

  • For Granola with a workspace connection, the note is filed in a shared Granola space. Otherwise, connect your personal Granola account in Settings → Account → External apps.

  • The meeting is within the sync range you chose when connecting.

Does the agent read all transcripts for a meeting?

No. The agent uses the primary transcript as the single source of truth for each meeting. This keeps answers consistent and avoids conflicting details from different transcripts. To have the agent use a different transcript, make it primary.

If I switch the primary transcript, does it change for my teammates too?

Yes. The primary transcript is set for the meeting, not per person, so everyone sees the same transcript, summary, and suggested actions.

Who can see my personal Granola transcripts?

Anyone who can see the Lightfield meeting it's attached to. Transcripts inherit the meeting's visibility.
