3.4 Link a meeting to an account or opportunity
Lightfield links meetings to accounts and contacts automatically based on attendee email addresses. In most cases you don't need to do anything. If a meeting isn't linked correctly, here's how to fix it.
How automatic linking works
When a meeting is recorded, Lightfield looks at the attendee emails, finds matching contacts and accounts in your CRM, and links the meeting to those records. If a contact or account doesn't exist yet, it creates one.
Manually link to an opportunity
From inside the meeting: "Link this meeting to the [Opportunity Name] opportunity."
Or from inside the opportunity: "Associate the [Meeting Name] meeting with this opportunity."
Link to an account
"Link this meeting to the Acme Corp account."
Unlink a meeting
"Remove the link between this meeting and [Account/Opportunity Name]."
3.5 Meeting didn't record — why?
Recording is disabledSettings → Account → Recording — if set to "Don't record", the notetaker won't join calls automatically. Switch to "Record external meetings."
The notetaker was denied entry If a participant dismissed the Lightfield bot from the waiting room, it couldn't join. Fix: upload the transcript manually (see 3.2), or use a Granola note if you took manual notes.
The meeting domain is on your Do Not Track list If any attendee's domain is blacklisted, Lightfield won't record. Check: Settings → Mail and Calendar → Do Not Track.
The meeting was internal Meetings where all attendees share your domain are excluded by default.
The calendar wasn't connected before the meeting If the event was created before your account was connected, the notetaker may not have been invited. Add the transcript manually for historical meetings.
Unsupported platform Lightfield supports Zoom, Google Meet, and Microsoft Teams. Meetings on other platforms won't be recorded automatically.
3.6 Transcript is missing or incomplete
Still processing Transcripts generate after the meeting ends and may take a few minutes. Check back after 5–10 minutes.
Short or silent meeting Calls under ~2 minutes or with long stretches of silence may produce incomplete transcripts.
Poor audio quality Background noise or multiple people speaking simultaneously reduces accuracy.
Notetaker joined late If the bot was held in the waiting room and admitted partway through, the transcript only covers the portion it was present for.
Fix for all of these: Upload a corrected or complete transcript manually. See 3.2.
